This Privacy Policy explains how Top Dose Coffee Roasters (“we”, “us”, “our”) collects, uses, shares and protects your personal information when you visit topdose.co.za, buy from our online store, or contact us. The personal information we collect
- Order and account information: your name, email address, delivery and billing address, phone number, and (if you create an account) a password.
- Payment information: handled securely by our payment provider, PayFast. We receive confirmation of payment and limited details such as the card type, but we do not store your full card number.
- Communications: messages you send us by email, the contact form or social media, and our replies.
- Website and device information: IP address, browser and device type, pages viewed, the site you came from, and similar analytics data collected through cookies (see “Cookies and tracking” below).
- Marketing preferences: whether you have subscribed to our newsletter and how you interact with our emails.
How we use your information, and our lawful basis
- To process, deliver and manage your orders – coffee, equipment, courses and experiences – and provide customer support (performance of our contract with you).
- To create and manage your account (performance of a contract, or your consent).
- To send order confirmations and service messages (performance of a contract).
- To send marketing emails and show you relevant adverts (your consent, which you can withdraw at any time).
- To analyse and improve our website, products and service (our legitimate interest in running and improving our business).
- To prevent fraud and keep our website secure (our legitimate interest and legal obligations).
- To keep tax, accounting and other records (compliance with the law).
Who we share your information with
We share personal information only as needed to run our store, and we require these parties to protect it:
- Payment providers (PayFast), to process your payment.
- Delivery and courier partners, to deliver your order.
- Our email and marketing platform (Mailchimp), to send our newsletter and manage subscriptions.
- Analytics and advertising partners (Google, including Google Analytics; and Meta/Facebook), to measure how our website performs and to show relevant adverts. These run only if you accept analytics or marketing cookies.
- Hosting and IT providers who host this website and store data on our behalf.
- Regulators, law enforcement or professional advisers, where we are required to by law or need to protect our rights.
We do not sell your personal information.
Information sent outside South Africa
Some of our service providers (for example Google, Meta, Mailchimp and PayFast) are based outside South Africa, mainly in the United States. Where your personal information is transferred outside South Africa, we rely on the recipient being subject to laws or binding agreements that provide a level of protection comparable to POPIA.

- Marketing cookies that help us and our partners show relevant adverts and measure their effect.

How long we keep your information
- Order and transaction records: at least five years, to meet South African tax and consumer-protection requirements.
- Account information: for as long as your account is active, and a reasonable period afterwards.
- Marketing data: until you unsubscribe or ask us to delete it.
- Website analytics: kept for a limited period in line with our analytics settings.
Your rights under POPIA
You have the right to:
- ask what personal information we hold about you and request a copy;
- ask us to correct or update information that is wrong or incomplete;
- ask us to delete or destroy information where we no longer have grounds to keep it;
- object to us processing your information for direct marketing, or on other reasonable grounds;
- withdraw consent you have given (this does not affect processing already carried out); and
- lodge a complaint with the Information Regulator.

Direct marketing
We will only send you marketing email if you have subscribed or bought from us and have not opted out. Every marketing email has an unsubscribe link, and you can also email us at any time to opt out.
Security
We take reasonable technical and organisational steps to protect personal information against loss, misuse and unauthorised access, including secure hosting, encrypted (HTTPS) connections and access controls. No method of transmitting data over the internet is completely secure, so we cannot guarantee absolute security.
Children
Our store is intended for adults. We do not knowingly collect personal information from children under 18 without the consent of a parent or guardian.
Changes to this policy
We may update this policy from time to time. The current version is always on this page, and the date below shows when it last changed.
